OwlOps Consulting LLC is a small, independently owned operations consulting firm. We collect only the information we need to respond to you and run our business. We do not sell your personal information, and we never will.
01Who we are
This Privacy Policy describes how OwlOps Consulting LLC ("OwlOps," "we," "us," or "our") collects, uses, and shares information when you visit owlopsconsulting.com (the "Site"), contact us, schedule a call, or engage our services. OwlOps is based in Phoenix, Arizona, United States, and is the data controller for the personal information described in this policy.
By using the Site, you agree to the practices described here. If you do not agree, please do not use the Site.
02Information we collect
We collect information in two ways: information you give us directly, and information collected automatically when you browse the Site.
Information you provide
| When you | We may collect |
|---|---|
| Submit a contact or lead form | Your name, email address, company name, phone number (if provided), and anything you write in the message field. |
| Schedule a discovery call | Your name, email address, time zone, and any notes you add to the booking. |
| Email or call us | Your contact details and the contents of our correspondence. |
| Become a client | Business and billing details needed to deliver services and invoice you, governed by our engagement agreement. |
| Subscribe to updates | Your name and email address. |
Information collected automatically
Like most websites, our Site collects certain technical information when you visit, including your IP address, browser type, device type, operating system, referring website, the pages you view, and the date and time of your visit. This is collected through cookies and similar technologies, described in Section 5.
We do not collect sensitive personal information such as government ID numbers, health information, or precise geolocation, and we ask that you do not send it to us through the Site.
03How we use it
We use the information we collect to:
- Respond to you when you submit a form, book a call, or email us.
- Deliver our services and manage our relationship with clients.
- Send updates such as insights articles or firm news, only if you have opted in. Every email includes an unsubscribe link.
- Improve the Site by understanding which pages are useful and where visitors run into problems.
- Keep the Site secure and detect spam, abuse, or unauthorized access.
- Meet legal obligations such as tax, accounting, and record-keeping requirements.
We do not use your information for automated decision-making or profiling that produces legal or similarly significant effects.
04Tools and third parties we use
We rely on a small number of service providers to operate the Site and our business. Each receives only the information needed to do its job and is bound by its own privacy policy and our agreements with it.
| Provider | What it does |
|---|---|
| Hostinger | Hosts the Site and processes server logs. |
| WordPress & Elementor | Power the Site and its contact forms. Form submissions are stored in our site database and emailed to us. |
| Google Analytics | Helps us understand Site traffic in aggregate. IP addresses are anonymized. See Section 5. |
| Scheduling software (e.g., Calendly or Google Calendar) | Handles discovery call bookings when you use the scheduling link. |
| Email and productivity services (e.g., Google Workspace) | Store and deliver our business email and documents. |
| Accounting and invoicing software | Processes client billing. Payment card details are handled by the payment processor and never stored by OwlOps. |
07How long we keep it
We keep personal information only as long as we need it for the purposes described above, or as required by law. As a general guide:
- Contact form and scheduling submissions are kept for up to 24 months from our last correspondence, unless you become a client.
- Client records are kept for the duration of the engagement and for 7 years afterward to meet tax and accounting obligations.
- Analytics data is retained in aggregate form for up to 26 months.
- Email subscriber lists are kept until you unsubscribe.
When information is no longer needed, we delete it or anonymize it so it can no longer be associated with you.
08How we protect it
The Site is served over HTTPS, and we use reputable, access-controlled providers to store information. Access to personal information within OwlOps is limited to those who need it. That said, no method of transmission or storage is completely secure, and we cannot guarantee absolute security. If we become aware of a breach that affects your personal information, we will notify you and the relevant authorities as required by law.
09Your privacy rights
Regardless of where you live, you can ask us to:
- Access the personal information we hold about you.
- Correct information that is inaccurate or incomplete.
- Delete your personal information, subject to legal retention requirements.
- Stop sending you marketing emails. Use the unsubscribe link in any email or contact us directly.
To make a request, email [PRIVACY EMAIL] or use the details in Section 14. We may need to verify your identity before acting on a request. We will respond within 30 days, or sooner where the law requires, and we will never discriminate against you for exercising your rights.
10Visitors in the European Economic Area, United Kingdom, and Switzerland
If you are located in the EEA, UK, or Switzerland, the General Data Protection Regulation (GDPR) and equivalent laws give you additional rights and require us to explain our legal basis for processing your information.
Legal bases
- Consent — for analytics cookies and marketing emails. You may withdraw consent at any time.
- Performance of a contract — to respond to your inquiry and deliver services you have requested.
- Legitimate interests — to operate and secure the Site and run our business, balanced against your rights.
- Legal obligation — to keep records required by tax and accounting law.
Additional rights
In addition to the rights in Section 9, you may ask us to restrict processing, object to processing based on legitimate interests, or provide your data in a portable format. You also have the right to lodge a complaint with your local supervisory authority, though we would welcome the chance to address your concern first.
International transfers
OwlOps is located in the United States, and the information we collect is stored and processed there. Where we transfer information from the EEA, UK, or Switzerland, we rely on safeguards such as Standard Contractual Clauses or the provider's participation in the EU-U.S. Data Privacy Framework.
11California residents
The California Consumer Privacy Act (CCPA), as amended by the CPRA, gives California residents specific rights regarding their personal information. OwlOps does not currently meet the revenue or data-volume thresholds that make the CCPA apply to a business, but we honor its principles voluntarily.
In the preceding 12 months, we have collected the categories of personal information described in Section 2: identifiers (name, email, phone), commercial information (services inquired about), and internet activity (Site usage data). We collect this information from you directly and through cookies, and we use it for the purposes in Section 3.
We do not sell or share personal information as those terms are defined under California law, and we have not done so in the preceding 12 months. We do not use or disclose sensitive personal information for purposes that require a right to limit.
California residents may exercise the rights to know, delete, correct, and opt out described in Section 9, either directly or through an authorized agent, by contacting us at [PRIVACY EMAIL]. You may also visit our Your Privacy Rights page.
12Children
The Site is intended for business professionals and is not directed to children under 16. We do not knowingly collect personal information from children. If you believe a child has provided us with personal information, please contact us and we will delete it.
13Changes to this policy
We may update this policy from time to time to reflect changes in our practices or the law. When we do, we will update the effective date at the top of the page. If a change materially affects how we use your information, we will give you notice on the Site or by email where we have your address. Continued use of the Site after an update means you accept the revised policy.
